Guidance for TICKET STEWARDS

 

The Ticket steward role

​This is such an important job but the Tour Manager will run through everything you need to do on the day.

​

YOUR JOB​

You need to get there at 5.15, that is 45 minutes before the public are let in, but some venues start earlier. Check our marketing for times or with the local organiser (who might be you!)

You will be based in the Box Office tent and your job is selling tickets, selling programmes, selling merchandise, data collection and checking people off on the list of pre-sold tickets.

You will have an information sheet which will give you all the information you'll need.

A free ticket to the show and the chance to get your chairs for you and your group near the front before the rest of the audience arrive!

Tickets

We sell a number of different types of ticket: Adult, Senior, Student, Child, Group Of Four, Group Of Ten and Family (2 Adults & 2 Children) prices will be on the information sheet. Some will be pre-booked and some will be bought on the night.

​

PRE BOOKED TICKETS

You will be given a record sheet which details all the people who have bought tickets in advance. This includes information such as name, phone number, type and number of tickets. When the person or group arrives tick their name on the sheet and let them find their spot in the arena.

Sometimes we have a Local Box Office in addition to Central Box Office. In this instance you will either collect their paper tickets or tick their name off on another sheet.

TICKETS ON THE NIGHT

Prices will be on the information sheet and can be bought by Cash, Card (at most venues, some will be cash only) or cheque (made payable to The Rude Mechanical Theatre Company. Once you have sold a ticket or tickets please mark down on the Record Sheet the number and type of ticket sold as well as an email address for the person paying. This information is really important for our records. The Tour Manager will show you how to do this on the night.

Merchandise & Programmes

Programmes and a selection of  merchandise will be available such as T-Shirts, Tote Bags and Postcards. If you would like to make a simple display on the table that would be great. Prices will be on the information sheet and can be bought by Cash, Card (at most venues, some will be cash only) or cheque (made payable to The Rude Mechanical Theatre Company. There will be some items of merchandise which are marked For Display - these are not for sale and keep the other ones looking nice! Once you have sold a programme or piece of merchandise please mark down on the Record Sheet the number and type of merchandise/programmes sold. This information is really important for our records. The Tour Manager will show you how to do this on the night.

DATA COLLECTION

When someone buys a ticket on the night we try to collect an email address from them at the same time. This is so we can inform them of future shows and send them future important information if, for example, the show that evening has to be cancelled mid performance. Having this information is really important to us so we can grow our database or contact people about refunds or replacement tickets. People sometimes won't want to give one and that is ok. We never bombard audience members with emails and we 100% do NOT share this information with anyone else. They can also ask to be removed from our list at any time.

 

Cash Box & Float

In the Ticket Box you will find a cash box which contains a float for the evening. All cash must be placed in here.

 

CARD MACHINE

We have a portable card reader for people to pay via Debit/Credit card or contactless payment. It relies on a mobile phone signal being available so there are a couple of venues where we can't use it. When we can't use it we revert to cash or cheque only. It's quite simple to use and the Tour Manager will show you how on the night.

When the show starts

Please pack all the paperwork and the cash box into the Ticket Box and keep it safe. You can keep it with you whilst you watch the show or give it to the Tour Manger to lock away. Please close up the Box Office tent and cover up the merchandise as the Box Office tent will be unattended. â€‹Once the show has started, or just before, please feel free to take your seats in the audience and enjoy the show.

When the show has finished

Please pack all the paperwork and the cash box into the Ticket Box and make sure it is handed to the Tour Manger in person - you and the House Manager will be responsible for this. Please pack away any merchandise.
